Refund Policy

This policy applies to chart training programmes booked with Linkfieldhub Ltd, including the Pullback Entry Intensive, Invalidation Planning Workshop, Chart Review Sessions, and private cohort arrangements.

1. Cooling-off period

If you are a consumer booking online or by email, you have a 14-day right to cancel under the Consumer Contracts Regulations 2013, starting from the day you receive booking confirmation. If the programme begins within that 14-day period and you ask us to start before it ends, you may lose the right to a full refund once the first live session has taken place.

2. Cohort programmes (Pullback Entry Intensive, Invalidation Workshop)

Cancellation by you

• More than 21 days before start: Full refund of fees paid, minus any non-refundable deposit if stated otherwise in your booking confirmation. Standard deposit of £150 is refundable at this stage.
• 14–21 days before start: 50% refund of total programme fee, or transfer to the next available cohort at no extra charge.
• Less than 14 days before start: No refund unless we can fill your place from a waiting list, in which case a 50% refund may apply at our discretion.
• After programme start: No refund for sessions already delivered. Unused future sessions may be credited toward a future cohort within six months if you withdraw for documented medical reasons.

Cancellation by us

If we cancel a cohort, you receive a full refund within 14 working days or may transfer to a rescheduled date.

3. Chart Review Sessions

• More than 48 hours before scheduled time: Full refund or free rescheduling.
• Within 48 hours: 50% refund or one free reschedule per calendar year.
• No-show: No refund. The session is considered delivered.

Review session packs (four sessions): unused sessions are refundable at the single-session rate minus a £20 administration fee if cancelled before the first session. After the first session, remaining sessions are non-refundable but may be used within 12 months.

4. Private cohort bookings

Private group terms are confirmed in writing. Unless otherwise agreed, the 40% deposit is non-refundable once we reserve dates and decline other bookings for those slots. Remaining balance follows the cancellation schedule in your group agreement.

5. Rescheduling

One free reschedule is available for chart review sessions and workshop places if requested at least 48 hours in advance. Cohort transfers are subject to availability in the next scheduled group.

6. Non-refundable items

• Work already delivered (completed live sessions or chart reviews)
• Deposits on private cohorts after dates are confirmed, as stated in section 4
• Third-party costs we incur on your behalf (e.g. venue hire for in-person clinics) once confirmed

We do not sell physical products or digital subscriptions; there are no shipping or download fees.

7. Refund process

Email hello@linkfieldhub.click with your name, booking reference, and reason for cancellation. Refunds are processed to the original payment method (bank transfer) within 14 working days of approval. You will receive email confirmation when the refund is initiated.

8. Exceptions

We may waive standard terms in exceptional circumstances such as serious illness, supported by reasonable documentation. Contact us to discuss — we aim to find a fair outcome without requiring legal escalation.
